Wedding Hair Services – Terms & Conditions
Please read these Terms & Conditions carefully before confirming your booking. By paying your booking fee, you confirm that you have read, understood and agreed to the terms outlined below. These Terms form a legally binding agreement between the Client and Hair by Melissa Melody.
All correspondence must be made in writing via email and is only deemed confirmed once a reply has been received.
1. Securing Your Wedding Date
Your wedding date is secured only once the non-refundable booking fee has been received.
• £50 – Bride
• £50 per additional member of the bridal party
No dates are held provisionally. If payment is not received within 48 hours of quotation (unless otherwise agreed), the date may be released.
All booking fees are deducted from the final invoice.
2. Bridal Trials
Bridal trials are recommended approximately three months prior to the wedding date.
Trials are by appointment only. Inspiration images are encouraged to ensure your desired look can be discussed and refined.
Payment for the trial is due 7 days prior to the appointment via bank transfer, unless agreed otherwise.
Trial cancellations:
• Less than 7 days’ notice – trial fee payable in full
• More than 7 days’ notice – booking fee retained unless a new trial date is arranged
Trial appointments may be rescheduled up to three times. Further rescheduling may not be possible.
3. Payment Schedule
Following a successful trial and confirmation that you wish to proceed:
• 50% of the total wedding invoice is required
• The remaining balance is due no later than 28 days prior to the wedding date
Failure to make payment by the due date may result in cancellation of the booking and forfeiture of monies paid.
For bookings made within 4 weeks of the wedding date, full payment is required at the time of booking.
4. Minimum Booking & Scheduling
For peak season weddings (Fridays, Saturdays, Sundays and UK Bank Holidays), a minimum booking value may apply.
Where preparation timings are restricted, an early start is required, or more than 5–6 services are booked, an additional stylist may be required. This will be discussed at quotation stage and charged accordingly.
A clear schedule will be agreed in advance. The Client is responsible for ensuring all members of the bridal party are present and ready at their allocated time.
5. Pricing & Supplements
• Bank Holiday weddings incur a £50 supplement
• Travel is charged at £0.40 per mile from Tadworth, Surrey (return journey)
• Parking, congestion charges, tolls or accommodation (if required) will be added to the final invoice
• Early start times (before 7:30am) may incur an additional fee
All pricing will be clearly outlined within your quotation.
6. Cancellations
If the Client cancels the wedding booking, the following charges apply:
• More than 8 weeks before the wedding – 30% of the total invoice payable
• Between 4–8 weeks before – 50% of the total invoice payable
• 14 days or less before – 100% of the total invoice payable
All booking fees and deposits are non-refundable.
Genuine emergencies may be considered at the discretion of Hair by Melissa Melody.
7. Postponements
One postponement may be permitted, subject to availability, and must fall within 6 months of the original wedding date.
New dates falling within peak season may be subject to revised pricing.
If the rescheduled date is unavailable, cancellation terms will apply.
8. Client Responsibilities
The Client is responsible for:
• Providing the correct preparation address and confirmed timings
• Informing Hair by Melissa Melody of any allergies, sensitivities or medical conditions
• Ensuring a suitable workspace with natural light, table space and seating
Hair by Melissa Melody cannot be held responsible for:
• Delays caused by changes made without prior notification
• The longevity of hairstyles where external factors interfere (heat, humidity, outfit changes, veils fitted after styling, etc.)
• Damage to clothing or personal belongings unless caused by proven negligence
For hygiene and safety reasons, services may be refused where there are infectious conditions (such as cold sores, conjunctivitis, impetigo, lice, open wounds) or where a client is intoxicated or behaving inappropriately.
9. Illness & Emergency
In the unlikely event that Hair by Melissa Melody is unable to attend due to illness or unforeseen circumstances, every effort will be made to arrange a suitable replacement stylist of comparable standard.
If a replacement cannot be secured, all wedding-day monies paid (excluding trial fees) will be refunded in full.
No further compensation shall be payable.
10. Force Majeure
Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to extreme weather, natural disasters, government restrictions, transportation disruption or other unforeseeable events.
In such cases, postponement terms will apply, subject to availability.
11. Photography & Marketing
Photographs taken at trials or on the wedding day may be used for portfolio, website and social media purposes.
If you do not wish for images to be used, this must be communicated in writing prior to the trial or wedding date.
12. Privacy
All personal data is handled in accordance with UK GDPR legislation and is used solely for the purpose of delivering contracted services.
